Email Management

Manage email accounts, forwarders, and autoresponders directly from WHMCS.

Email Accounts

Create Email Account

  1. Go to Email section
  2. Click Create Account
  3. Fill in the form:
    • Email Address: username (domain is auto-selected)
    • Password: Strong password
    • Quota: Storage limit in MB (0 for unlimited)
  4. Click Create

Change Password

  1. Find the email account in the list
  2. Click the Key icon or Change Password
  3. Enter new password
  4. Click Save

Delete Account

  1. Select the email account
  2. Click Delete
  3. Confirm deletion

Deleting an email account permanently removes all emails and settings.

Access Webmail

Click the Webmail button to access:

  • Roundcube - Modern, feature-rich interface
  • Horde - Classic interface with calendar
  • SquirrelMail - Simple, lightweight interface

Email Client Configuration

Click Configure Mail Client to see settings:

Incoming Mail (IMAP)

Forwarders

Create Forwarder

  1. Go to Forwarders tab
  2. Click Add Forwarder
  3. Enter:
    • Forward: email address to forward FROM
    • Destination: email address to forward TO
  4. Click Add

Forward to Multiple Addresses

Create multiple forwarders for the same source address, each pointing to a different destination.

Delete Forwarder

Click the Delete button next to the forwarder.

Autoresponders

Create Autoresponder

  1. Go to Autoresponders tab
  2. Click Add Autoresponder
  3. Configure:
    • Email: Account to add autoresponder to
    • From: Name shown in reply
    • Subject: Reply subject line
    • Body: Message content
    • Start: When to start (optional)
    • Stop: When to stop (optional)
  4. Click Create

Use Cases

  • Vacation replies - Let senders know you're away
  • Acknowledgment - Confirm receipt of inquiries
  • Information - Provide immediate information

Spam Filters

Enable SpamAssassin

  1. Go to Spam Filters tab
  2. Toggle SpamAssassin ON
  3. Configure spam threshold (default: 5)

Whitelist/Blacklist

  • Whitelist: Emails from these addresses always pass
  • Blacklist: Emails from these addresses are always marked as spam

Mailing Lists

Create and manage mailing lists for newsletters or group communication.

  1. Click Mailing Lists
  2. Click Add Mailing List
  3. Enter list name and password
  4. Add subscribers

Email Routing

Configure how email is handled for your domain:

  • Local Mail Exchanger - Email delivered locally
  • Remote Mail Exchanger - Email handled by external server (Google, Microsoft)
  • Backup Mail Exchanger - Local server as backup
